POSITION SUMMARY:
The emphasis of this position is to provide strong administrative support to the Office Administrator of the Arkoma Office. Duties and responsibilities may change as this position evolves.

ROLES & RESPONSIBILITIES:

  • Front end reception duties to include greeting guests, answering phones, update phone lists
  • Handling fleet vehicle licenses, registration, and mileage records
  • Handling and assisting in the processing of invoices
  • Managing incoming requests for line locates, one-call updates, and other pipeline administrative duties
  • Administering monthly expense reports, daily operations reports, and other recurring field reports
  • Organizing Meetings/Conferences/Workshops/Events/Social Activities/Catering Services, both internal and external
  • Work with home office to orient all incoming field employees
  • Assist with managing all building/equipment service agreements—carpet cleaning, pest control, vending/coffee service, furniture repairs/reconfiguration
  • Assist in managing calendar for conference rooms
  • Assist with upkeep/cleaning of conference room
  • Maintain updated contact information for individuals at location site
  • Department filing and distribution of mail, FedEx and UPS shipping, maintain office supplies for the team
  • Other office duties as deemed appropriate

QUALIFICATIONS, EXPERIENCE, AND EDUCATION:

  • Prior industry experience a plus but not required
  • Excellent Word/Excel/PowerPoint/Outlook
  • Strong organization and planning skills, detail oriented
  • Ability to work with minimal supervision and prioritize workload
  • Self-motivated with a proactive approach
  • Flexibility to unexpected and changing conditions
  • Ability to work with confidential information and material
